AI Chatbot Opening Hours: Keep Hours and Closures Accurate

AI chatbot opening hours: a chat answering a question about holiday closing times from a published hours table

Ask any business what its chat visitors ask most and the answer is rarely a clever product question. It is “are you open?”, “what time do you close on Saturday?” and “are you open on the holiday?”. An AI chatbot opening hours setup that gets this wrong is worse than none, because a wrong answer sends a customer to a locked door and then to a review site. Getting it right is not about the AI at all. It is about writing your hours once, in one place, in a form the assistant can read, and keeping them current.

This guide explains why hours cause so many wrong answers, separates the different kinds of hours that businesses mix up, shows how to write them so Mio, the AI assistant from Talkmio, answers correctly, how to handle holidays, closures and time zones, and a short routine that keeps everything in sync. It sticks to what the Talkmio documentation describes and says plainly where you must do the work yourself.

Why AI Chatbot Opening Hours Go Wrong

The assistant is rarely the cause. The problem is nearly always the content it reads. Mio answers only from your website, FAQ and the documents you upload, and it never invents prices or policies; it will repeat what it finds. If what it finds is inconsistent or out of date, so will the answer.

  • Contradicting sources. The footer says 9 to 17, the contact page says 9 to 18 and an old PDF says 8 to 16. Mio has three answers to choose from.
  • Stale pages. A holiday notice from last December still sits on the home page.
  • Hours in images. A timetable saved as a picture cannot be read as text.
  • Implied hours. “Open daily” with no times, or “after lunch”, leaves the assistant guessing.
  • No time zone. A visitor in another country reads “9 to 17” and does not know whose 9.
  • Mixing shop hours with support hours. “We are open Saturday” may mean the shop, not the chat team.

Our guide on AI chatbot hallucination control explains why clean sources are the best control; opening hours are the clearest example.

Opening, Support and Widget Hours Are Different

Businesses use the word “hours” for several different things. Keep them apart in your content and in your head.

Kind What it means Where it lives Who controls it
Opening hours When the shop, office, clinic or restaurant is open to visit or call Your website pages and the knowledge base You, as text
Support hours When a person answers chats, e-mails and calls Support page, knowledge base You, as text
Widget business hours When the widget presents itself as online or offline Websites, business hours, in Talkmio Talkmio settings
Operator status Whether an individual is Online, Away or Offline Each team member’s status in the Inbox The team member

The widget business hours and offline text change what the visitor sees and what the chat does: when your whole team is offline, visitors are asked for an e-mail before their first message and your reply goes out as an e-mail. They do not teach Mio your opening hours. That is the knowledge base’s job. Both need to agree, which is why a weekly check is useful. More about statuses is in live chat operator status: online, away and offline.

How to Write Hours So the Assistant Reads Them Correctly

Write hours as plain text, in one canonical place, in a form that leaves no room for guessing.

Use a table or short lines

A small table with days and times is read correctly by people and by software. Avoid “Mon to Fri 9 to 5, Sat by appointment, except Wednesday afternoons” in one sentence; split it. Search engines also understand structured hours; the OpeningHoursSpecification type documents the format if your site publishes it, and your Google profile should say the same thing as your website; Google’s help page on how to edit your Business Profile shows where hours are set there.

Say which kind of hours it is

Title the block “Shop opening hours” or “Customer support hours”, not just “Hours”. If both exist, publish both, separately.

Name the time zone

If you serve visitors from other regions, write the time zone once (“Eastern European Time, UTC+2 in winter”). The IANA time zone database lists the official names. Reports in Talkmio show busiest hours in your time zone, which helps you check that your published hours match when customers actually write.

Add a Q&A pair for the question itself

A pair such as “What are your opening hours?” with the short answer and a pointer to the page gives Mio a clean, unambiguous piece to use. Keep it in step with the page; in the knowledge base, Q&A pairs are separate pieces from pages. Our article on AI chatbot instructions shows how to word rules for edge cases, such as “if a date is not listed, say you are not sure and offer to pass the question to the team”.

Holidays, Closures and Special Dates

Holidays are where most wrong answers appear, because they are temporary and people forget to remove them.

  1. Publish the exceptions as dates. “Closed 24 December to 1 January, reopening 2 January at 9:00” is clear; “closed over Christmas” is not.
  2. Put them on a page the assistant reads. A pop-up banner may not be text on a public page. Put the notice in the page content.
  3. Add a temporary Q&A pair. “Are you open on 26 December?” with a direct answer helps if the main page is long. Write a reminder to delete it.
  4. Re-read the source. Sources are re-read on demand, so use Re-read after changing a page; otherwise Mio may still use the old text.
  5. Test in Try Mio. Ask the date questions you expect and look at which knowledge pieces were used.
  6. Remove the notice afterwards. Delete the page text and the temporary pair, then Re-read again.

Seasonal businesses face this several times a year; see live chat for seasonal businesses for staffing around the peaks.

What Mio Should and Should Not Say About “Open Now”

A visitor often asks “are you open right now?”. The safe approach is to have Mio state the published hours and, where relevant, the time zone, rather than claim to know the current state of a physical location. Tell the assistant in the business instructions what to do when the situation is unclear: quote the listed hours, say that special closures are listed on a given page and offer to pass the question to the team. If your team is online, the visitor can simply wait for a person; if nobody is online, the offline flow collects an e-mail.

Mio hands the chat to a person when it cannot answer from your content, when the visitor asks for a person, complains or asks about a specific order. A visitor who says “I am standing outside and it is closed” is complaining, and a person should take over. If nobody is online, you also get an e-mail and a push notification on the mobile app.

Several Locations, Languages and Services

Hours get more complicated with scale.

  • Several locations. Give each location its own page or clearly labelled block. A single page with a long list invites mix-ups, so test “What time does the Kaunas shop close?” style questions for each.
  • Different services. A clinic’s reception hours differ from its lab hours; a restaurant’s kitchen closes before its bar.
  • Several languages. Mio answers in the visitor’s language and finds answers written in another language, but day names and date formats must still be correct in each version of your pages. Check the translated pages.
  • Several websites. Each website has its own settings and knowledge base entry; keep their hours in sync. The Free plan covers one website, Pro three and Ultimate ten.

The setup advice for team coverage, rotas and offline text is in live chat offline hours: shift planning that works.

Example: Wording That Works

Here is a short pattern a small shop could publish, followed by how an assistant answers from it. The wording is only an example; use your own hours.

Published text Visitor question Good answer from the content
Shop opening hours: Monday to Friday 9:00 to 18:00, Saturday 10:00 to 14:00, closed Sunday. Time zone: Eastern European Time. Are you open on Saturday afternoon? On Saturdays the shop is open from 10:00 to 14:00 Eastern European Time, so it closes at 14:00.
Customer support hours: Monday to Friday 9:00 to 17:00. Outside these hours, leave your e-mail and we reply the next working day. Can I talk to someone at 8 pm? Support is staffed Monday to Friday 9:00 to 17:00. Leave your e-mail and the team will reply the next working day.
Closed 24 December to 1 January. Reopening 2 January at 9:00. Are you open between Christmas and New Year? No. The shop is closed from 24 December to 1 January and reopens on 2 January at 9:00.

Notice what the published text does: it gives each fact once, with times and the time zone, it separates shop hours from support hours and it states exceptions as dates. An assistant that reads such text has nothing to guess. Compare that with “Open most days, check back around holidays”, which would force it to hand over every question about hours.

Finally, remember that wrong hours cost more than missing hours. If you are not sure whether a date will be open, say so on the page, and let Mio hand the question to a person. It is better that a visitor waits for a confirmation than that the chat states something your team cannot honour.

A Weekly Five-Minute Hours Check

  1. Open your contact page, footer and Google profile and confirm they match.
  2. In Try Mio, ask “What are your opening hours?” and “Are you open on [next holiday]?”.
  3. Check the widget business hours and offline text under Websites.
  4. Look ahead two weeks for holidays, stocktakes and events, and publish them.
  5. Re-read changed sources, and note the date of the check.

Five minutes a week prevents the Monday-morning complaints. Do it before long weekends and in the last week before each holiday.

Frequently Asked Questions

How does an AI chatbot know my opening hours?

It reads them from your content. Mio answers only from your website, FAQ and uploaded documents, so your hours must be written as plain text on a public page or added as a Q&A pair. If sources disagree, answers can disagree. Keep one canonical block, label it shop or support hours and use Re-read after every change.

Are widget business hours the same as opening hours?

No. Widget business hours decide when the chat shows as online or offline and, when your team is offline, make visitors leave an e-mail before their first message. They do not teach Mio your opening hours. Publish opening hours as text in the knowledge base, and keep both in agreement.

How should I handle holiday closures in the chatbot?

Publish the exact dates and reopening time on a public page, add a temporary Q&A pair for the date question, then use Re-read so Mio reads the new text and test it in Try Mio. After the holiday, remove the notice and the pair and Re-read again so old dates do not linger.

Can the chatbot tell visitors whether I am open right now?

Do not rely on that. Have Mio quote the published hours with the time zone and point to the page that lists special closures. Add a business instruction for unclear cases: say you are not sure and offer to pass the question to the team. A visitor reporting a closed door is a complaint, which Mio hands over.

What if I have several locations with different hours?

Give each location its own page or clearly labelled block and test one question per location in Try Mio. A single long list invites mix-ups. If you have several websites, each has its own knowledge base entry and widget settings, so keep hours in sync across them with a short weekly check.

Which time zone should I state?

State the one your hours use, written once and clearly, for example the name of the time zone and its offset from UTC in summer and winter. Visitors from other regions will otherwise misread the hours. Reports in Talkmio show busiest hours in your time zone, so you can check your published hours against when customers actually write.

The Bottom Line

AI chatbot opening hours are correct when your sources are: one canonical block of plain text, labelled as shop or support hours, with dates for every exception and the time zone stated. Keep the widget business hours in step, re-read sources after each change and test the date questions in Try Mio.
